The Role

The Business Administrator’s aim is to support the growth of the business, by taking care of the day to day operations and ensure that our team are well looked after. 

Working centrally to a dynamic and lively agency, you’ll split your time between our Brinkworth offices and home working, as required. 

This is a fantastic opportunity for the right candidate to learn and develop the inner workings of a growing business by supporting on key deliverables, across facilities management, wellness, finance and HR. 

Infinity Nation is positioned as the go-to boutique for digital and e-commerce businesses looking to deliver significant profitable growth. To that end, you will encounter some great brands and play a core part in the growth of our own business, by freeing up the directors to prospect and onboard new clients and team talent. 

Responsibilities

You won’t be doing all of the below, every day. However, we want to find the right person who can respond to briefs from our board and SLT and prioritise their time, to ensure that the business operates effectively, whether they are in or out. 

Duties may include but not be restricted to: 

  • Running the debtors report and flagging with the senior leadership team (SLT) on a weekly basis 
  • Invoicing support – reconciling draft invoices against our billing sheet and processing for approval 
  • Circulating the weekly SLT report by 11o’clock on a Friday 
  • Ordering office supplies and managing this within a budget 
  • Reviewing holiday, location and sickness reports in our HR software tool and identifying trends, flagging issues with the relevant manager 
  • Ordering client gifts and ensuring our client data is accurate within our CRM to flag key events (e.g.) 1 year anniversary, birthday etc. 
  • Managing our Indeed profile – posting new jobs and updating company information 
  • Creation of client contracts for review by Client Success Manager / Client Services Director 
  • Encouraging glassdoor reviews from our employee base 
  • Monitoring usage of benefits (i.e.) Perkbox and promoting take-up of this amongst the company via weekly emails 
  • Briefing new starters to our HR and IT companies 
  • Arranging new starter orientation and seating plans etc 
  • Ordering new IT equipment as briefed, within the set budget 
  • Selling old office equipment as briefed 
  • Sending internal comms as briefed 
  • Booking client entertainment, team building and events venues as briefed 
  • Creating and maintaining a log of up to date processes and flagging review dates 
  • Researching and briefing policy templates to our HR consultant 
  • Completing RFP business information for pitches and creating a central repository for this information to speed up this process over time 

Candidate Requirements

First and foremost, you are proactive and a self-starter

You are the kind of person where people can throw an idea or a brief and it sticks.  

You’ll be able to pick up and run with a task or project following a brief, communicate well and ensure that stakeholders are kept informed on progress and outcome. 

You are super organised, with the ability to multitask and handle multiple tasks and deadlines – you have a willingness to learn, get stuck in and challenge the status quo. 

Handling sensitive staff data, you’ll align with our core values of honesty and integrity and demonstrate this in all that you do 

You’ll take great satisfaction in completing a task and reporting on outcomes. 

Finally, you’ll need to be a team player. You’ll work with the senior team to identify any areas where you can support with administrational duties and help complete important projects that are critical to our growth goals and client success. 

The Package

A successful candidate would be joining an award-winning, multi-channel growth partner. We act as a sat-nav for our clients, navigating them through the ever-changing world of digital marketing. We use a data-driven approach to take them on their journey using the most effective route possible. As a key part of our growing team you can expect:

  • Salary £22k-£25k FTE
  • 22 days holiday (to start) – plus the usual bank holidays (pro-rata’d for part time team members) 
  • Additional holiday is provided after 2 years’ service, to a maximum of 27 days per year + bank holidays
